If you are a Project or Organisation account user you can use the online surveys email tool to send survey invitations and reminders to respondents.
The online surveys email tool has the following limits on the number of emails that can be sent:
Number of respondents
The email tool in online surveys is limited to 5,000 respondents per survey. If you have more than 5,000 respondents but wish to discuss using online surveys to distribute your invitations, please contact the online surveys support team.
Number of emails per respondent
The email tool will allow you to send each respondent a maximum of:
- one invitation email; and
- four reminder emails.
How do I know how many emails have been sent to my respondents?
Invitation and reminder emails are not sent automatically by online surveys. Invitation and reminder emails are only sent when you click the Send invitation emails or Send reminder emails button and confirm that you wish to send the relevant emails.
Invitation emails are sent to respondents under the following conditions:
- the respondents’ email addresses are contained in the Email field (third column) of the respondent list.
- the respondents have not previously opted out of receiving emails from online surveys.
- the respondents have not already been sent an invitation email by the online surveys email tool.
- the respondents have not already completed the survey.
Reminder emails are sent to respondents under the following conditions:
- the respondents’ email addresses are contained in the Email field (third column) of the respondent list.
- the respondents have not previously opted out of receiving emails from online surveys.
- the respondents have been sent an invitation email by the online surveys email tool.
- the respondents have not already been sent the maximum number of reminder emails permitted by the online surveys email tool.
- the respondents have not already completed the survey.
Each time you send invitation or reminder emails the email tool will display a confirmation message stating how many invitation or reminder emails were sent.
We recommend that you keep a record of when you send invitation and reminder emails, especially if respondents are being added to a survey in batches.
